For most Indian small businesses, WhatsApp isn't one channel among several. It's the channel. People will message a business on WhatsApp who would never fill in a contact form or send an email.
The problem is the other side of that: the messages don't stop at closing time. Here's how to make WhatsApp work for the business without it running your life.
Use WhatsApp Business, not your personal account
The free WhatsApp Business app is a different app from the one you already have, and it's worth the twenty minutes to switch.
What you get that the normal app doesn't have:
- A business profile — address, hours, a short description, a link to your website. It shows before someone messages you, which answers half the questions people would otherwise ask.
- A greeting message that sends automatically to anyone messaging you for the first time.
- An away message for outside your working hours.
- Quick replies — saved answers you insert with a shortcut instead of retyping. If you've typed your price list more than five times, save it.
- Labels — mark a chat "new enquiry", "quoted", "booked", so your chat list becomes something like a customer list.
You can run it on a second number, which is the cleanest way to keep work off your personal phone.
Write the away message properly
Most away messages say "We are currently unavailable. We will respond shortly." That tells the customer nothing and sets up a promise you might not keep.
A better one answers the question they were going to ask, and sets a real expectation:
Thanks for messaging [business]! We're closed right now — open [your hours]. Most enquiries are about [the two things people actually ask]: [short answer]. We'll reply when we open.
The point is that someone messaging at 10pm gets something useful at 10pm, instead of a reply that says you'll reply.
Put a real WhatsApp link on your website
Not a phone number people have to copy. A link that opens a chat with you, with the first message already typed.
The format is https://wa.me/91XXXXXXXXXX — your number with the country code, no plus sign, no spaces. Add ?text= and a message to prefill one:

The prefilled message matters more than it looks. A lot of people open the chat, see an empty box, don't know what to write, and leave. Giving them the first line removes that hesitation — and it tells you where the enquiry came from.
Decide when the phone is off
This is the part that isn't about software.
Set your hours in WhatsApp Business, turn the away message on, and then actually don't answer outside them. If you reply at 11pm once, customers learn that 11pm works, and the away message stops meaning anything.
Answering fast during working hours matters enormously — the business that replies first usually gets the job. Answering at midnight does not win you that job. It just moves the same job to a worse hour.
When automation is worth it
Once you're answering the same five questions every day, the free app's quick replies stop being enough.
